During this semester, you will use the portfolio tool Portflow. In Portflow, you can show the progress of your project(s). You do this by collecting products and requesting feedback from teachers, students, experts, etc. On this page, you can find information about:

1. Create your portfolio

You can find the portfolio in the left menu

Import the Portflow-template

To help you structure your portfolio, you can use a template. Use the template code:.

Click on ‘+ add new’ at the introduction page
Click on ‘import template’
Enter the code: SCZ0XLF. A preview will be shown of the creator, the amount of sections, collections and goals.
If this is the correct template, click on ‘import’

Introduction page

The introduction page of your portfolio is the first thing the reader will see. Make sure to give this page proper attention. You can edit the text box by clicking the pencil icon. Include the following:

A profile sketch with a photo, addressing questions such as:
- Your name
- A motto that describes you as a person
- Your (educational) background and other qualifications you have achieved
- Relevant (work) experience
- Your motivation for pursuing this study
- What you want to learn; the type of professional you aspire to become
- Your professional development goals
- Optional: what motivates you (and what doesn’t)

Sections

Sections in your portfolio overview help to organize and distinguish between the different semesters.

To Do:

Create a section for this semester: Semester X - <title>

Create a section

A new section can be created from the Portflow home page. 

Click on ‘+ Add new’.
Click on ‘Section’.
Give the section a name.

Collections

Structuring your portfolio is done by creating collections within a section. Within a collection, you can place products and gather feedback on these products in the context of your completed project(s). This approach aligns with the educational vision of Fontys ICT and its associated assessment policy.

To Do:

Create a collection for each project you carry out during the semester:
Your (Group) Project - <Project Name>
If you have an individual project: Individual project - <Project Name>
Optionally, you can create a collection for non-curricular activities. For example, board activities such as participation in the MR (Participation Council), student association, etc

A new collection can be created from the Portflow home page

Click on ‘+ Add new’.
Click on ‘Collection’.
Give the collection a name (required) and a subtitle.
Click on ‘Add’.

Goals

Through goals, you bring more structure within a collection. You can reflect the goals in multiple collections. This happens when you work on the goals, the learning outcomes, in multiple projects.

To Do:

Create a goal per: Learning Outcome
(Analysis, Advise, Design, Realise, Manage & Control, Professional Standard, Personal Leadership)

Create a goal:

Within a collection:

Click on ‘+ Add Goal’.
Click on ‘New Goal’.
Give the goal a short name (required), long name, and description
Choose the status of the goal
Click on 'Save'.

Collection description

The collection description is the first thing the reader encounters in your collection after the introduction page. It provides insight into what the reader can expect and the context in which your portfolio is structured.

To Do:

Background – Describe in the collection description the problem or opportunity that led to the assignment, the objective, and the (business) context. This description helps the reader understand what the project is about and what they can expect.

• Process – This is the core section and describes the execution. Structure this based on the process you followed during your graduation project. Consider organizing it per research phase, research question, or sprint. Address the following:
- What problem, research question, or research phase did you start from?
- What is the context/background?
- How did you approach this phase? Consider: What methods and/or strategies did you use?
- What is the result?
- What is the conclusion?
Tip! Use references to supporting evidence in your text. You can do this by typing @'name of the evidence piece'.

Example: the collection description

Products/Evidence

In your portfolio, you include products (= evidence). Examples of products are: professional products, assignments, presentations, reports, performance assessments, deliverables of professional tasks, interviews, including the feedback you receive on them. In short, anything that contributes to demonstrating the learning outcomes. There is a maximum of 500MB per file that you can upload.

To Do:

Link a product to (at least) one collection. Without linking to a collection, the learning product will not be visible.
Link a product to one or more goals (learning outcomes).
Always provide a learning product with an 'evidence description'. Below is what should be included in the evidence description:

Upload a product (evidence)

Click on ‘+ add evidence’ in ‘my evidence’ or in a collection.

Select ‘file upload'.

Give your product a name (this can be changed later).

Choose one or more files that you want to upload from your computer

Click on ‘Add’.

Link evidence to goals

Click on the three dots (⋮) on the evidence card within the collection
Click on 'add to (sub)goal(s
Select one or more goals and sub-goals within your collection to which you want to link the evidence

Click on ‘Add)’.

Evidence description

In the evidence description, specify the following:
- What type of learning product it is (in 1-2 sentences).
- What the goal of the learning product is (Who did you create it for? What does this learning product deliver?).
- Why this learning product contributes to demonstrating the learning outcomes.

Add Evidence versions

You can add new versions of evidence to provide insight into your progress and to received feedback.

Click on '+ new version' on the evidence page.

Select the new version of the evidence (upload a new version or create a new version).

Give a short description of what has changed

Click on 'add'.

2. Share your portfolio with others

You can make your portfolio in Portflow available to coaches, teachers, fellow students, and experts. After sharing (a part of) your portfolio, others can view your products and provide feedback.

To Do:

Share your portfolio with individuals from whom you want to receive feedback and provide insight into your project progress. Consider:
- Your coaches
- Experts
- Students

You can share your portfolio with fellow students, coaches, and experts within Fontys in two ways:

Your entire portfolio
- Click on "Shared with:" on your introduction page.
Per collection
- Click on "Share" within the specific collection.

You can also share your portfolio with external parties (outside Fontys):

Go to the portfolio introduction page.
Click on the plus icon (+) next to "Shared with"

Click on 'click here to invite external users'
Enter the name, email address and role of invitee. They can change their name only once on accepting the invite.
Select how long you want to give the user access for
Select the slider if you want to hide feedback from the visitor. They will then only be able to see feedback and progress reviews by themselves and you. If you have responded to someone else's original feedback, your response will not be visible to the visitor.
Deselect the slider if you only want to share certain collections. You can then select which collection they should have access to.
Click on 'Send invitation' to send the invitation.

3. Request feedback on (products in) your portfolio

During the semester, request feedback from stakeholders whenever you add new (versions of) products to your portfolio. This allows you to continuously improve your work and helps your assessor gain better insight into your progress.

You can send a feedback request in Portflow to individuals who have access to your portfolio. In your request, clearly describe what you would like feedback on (specific evidence or a collection). When you send a request, the recipient receives a notification and can respond accordingly.

Sending a feedback request

Make sure the user is invited to your collection or portfolio
Click on 'request feedback' on the collection or evidence page
Select the role which you are requesting feedback from
Select the person you want to request feedback from (who has access to your portfolio)

Select a suggested deadline by which you would like to receive the feedback

Carefully describe what you would like to receive feedback on
Would you like to receive feedback related to a specific goal? You can request goal-specific feedback on a collection or evidence. The feedback provider gets a specific field to note their goal-specific feedback.
Add attachments or audio or video recordings if desired.

4. Submit your portfolio

To submit a portfolio for your project plan, your midterm review, your concept portfolio and your final portfolio, you must first create a frozen version (snapshot) of your portfolio or a specific part of it in Portflow.You can continue working in your live portfolio, while the snapshot remains unchanged.

Create a snapshot

Click on 'Create a snapshot' in the menu at the top right.
Click 'next' if you do not want to change your profile information. If you still want to change this information you can do so on the Portfolio home page. After making adjustments, start up the snapshot flow again.
Select which collections (including feedback and previous versions) you want to include in this snapshot. The collection description and all feedback will be included as well.
For each collection, select which evidence you want to include. All feedback and descriptions on the selected evidence will also be included.
Assign a name and description to this snapshot
Click ‘view your copy’ to view the snapshot.

Submit your portfolio

Go to the course and assignment where you want to submit your portfolio.
1. Click on 'More'.
2. Select 'Portfolio' from the drop-down menu.
3. Choose the snapshot you want to submit for this assignment.
4. Click on ‘Submit assignment’.
